Our privacy approach

At JIDOKA we see respect towards the world around us as a major driver for healthy relationships with the people we collaborate with. The abuse of data from people and/or organisations is therefore considered as not done. As a consequence JIDOKA firmly endorses the General Data Protection Regulation. This means that we will do our ultimate best to implement and respect all aspects of this regulation.

Retention period

JIDOKA confirms that your email or message to us itself will be deleted after processing and the data stored in the appropriate data store will be treated according the GDPR compliant policies in place at JIDOKA. 

Concerning your visit to this website

We want to inform you that we collect IP-address information on who visits this website and which information is consulted. We do this by measuring which hyperlinks were followed and how long users stay on a page. This data is used to evaluate the value of the content we provide to our website users. Because we iteratively try to improve our content there is no need to keep this data longer than two years.

JIDOKA confirms therefore that it will only use the personal data we collect during your website visit for investigating the use of this website and will not retain this data any longer than 2 years.

Personal data through contact forms

Concerning the personal data you provide through a contact form on our website or via social media, we want to inform you that this personal data will be processed by our administration and will be retained in the appropriate data store depending on the context of the message (CRM, recruitment system, etc.).

Concerning your application for one of our positions

As part of our recruitment process, JIDOKA collects and processes personal data related to applicants or potential recruits. We are committed to being transparent about how we collect and use that data and to meeting our data protection obligations.

Once you apply for one of our positions, your CV (and your motivation letter) will be stored in our internal IT systems together with data collected through interviews or other forms of assessment. If your application is unsuccessful, JIDOKA may keep your personal data on file in case there are future employment opportunities for which you may be suited. We will ask for your consent before we keep your data for this purpose and you are free to withdraw your consent at any time.

During the recruitment process your information will solely be shared internally for the purposes of the recruitment exercise. This includes members of the HR and recruitment team, interviewers involved in the recruitment process and the management team. We will not share your data with third parties unless we have your formal consent and make you aware we are recruiting for our customers.

JIDOKA takes the security of your data seriously. We have internal policies and controls in place to ensure that your data is not lost, misused or disclosed, and is not accessed except by our team in the proper performance of their duties.

Concerning your visit to our mobile app

The JIDOKA app is publicly accessible for both potential employees and potential customers, as well as JIDOKA employees. The personal data available in the app and the data collected by the app falls under the Internal company privacy policy that respects and implements the GDPR. Below, we summarise the major aspects of this policy that apply to the usage of the app.

Personal data available in the app 

Public users will be able to access the contact information (name, email, role and telephone number) of the right people at JIDOKA they need to contact in order to get an answer to their question. 

Our employees will, after logging on in the app, be able to use the app as a platform to connect with colleagues and stay informed, therefore it contains limited personal data. We inform every employee about the privacy policy. They all have to accept it, and have to inherently accept the fact that limited personal data is shared with colleagues.

Personal data captured by the app

While the app uses geolocation data, JIDOKA will not capture and store this information. No crash reports that the app sends to JIDOKA support team have any link to an identifiable data subject. We can send push notifications to a specific device/data subject, but we will never collect personal information from that device based on this mechanism.

Public users that want to use the contact form in the app and send us a message, need to check a box before proceeding because we respect their privacy and so we will solely be using the personal data they submit to us in the context of this message. However we also sparsely communicate about company news and events and therefore everyone needs to indicate if they want to be kept informed in the future. 

The app shares no personal data to other parties. We treat personal data of public users and employees according to the data retention policy that is part of our company privacy policy. All data subjects rights as described in the GDPR can be exercised by our employees and are described in our company privacy policy.

All additional questions concerning your personal data, stored and processed by JIDOKA, can be addressed to privacy@jidoka.be and will be handled according the obligations of the GDPR. All policies can always be obtained upon specific request via above email address. The data itself will in general not be retained longer than two years without your explicit consent or because of legal obligations.
